JOB DESCRIPTION

  • Schedule Management: Develop and maintain the General Director’s (GD) professional schedule, including meetings, events, and other daily activities.
  • Operational Support: Work directly with the Board of Directors to ensure the GD’s daily operations run smoothly, efficiently, and meet high-quality standards.
  • Meeting Coordination: Arrange business trips, record meeting minutes, and provide interpretation/translation for meeting content.
  • Documentation & Legal: Draft contracts, establish company regulations, internal rules, and policies; perform clerical duties such as filing and reporting on activities related to the GD and various departments.
  • Correspondence Management: Handle mail, emails, and documents; categorize and distribute information to the correct departments/recipients; archive important documents per company regulations.
  • Guest Relations & Diplomacy: Welcome and host guests alongside the GD with a confident and sophisticated demeanor. Act as a translator/interpreter for foreign clients and partners.
  • Corporate Representation: Maintain a deep understanding of the company’s management and operations to engage with clients and partners effectively when the GD is unavailable.
  • External Events: Attend business dinners and networking events upon request, coordinating with the GD to ensure a professional and hospitable atmosphere.
  • Travel Logistics: Prepare all necessary materials for business trips, including partnership documents, flight bookings, and hotel reservations.
  • Acting Representative: Receive and process work from customers, partners, or internal departments in the absence of the GD.
  • Reporting & Follow-up: Consolidate regular and periodic reports for the Board of Directors. Prepare agendas for company meetings, take minutes of the GD’s directives, and disseminate information to relevant stakeholders.
  • Other Tasks: Execute additional duties as directed by the General Director.
